Executive Assistant

Icon Media Direct, Inc. is the advertising industry’s premier Direct Response media agency.  We specialize in Direct Response media services, including Short Form and Long Form Television, and Print.  Our corporate office is located in Van Nuys, CA, and currently we have full-time Executive Assistant to the Vice President of Media position available in our Media Department. The Executive Assistant is a great way to learn advertising strategy and television stations interaction skills, and to cultivate an exciting career in media and advertising! The successful candidate will be confident, self motivated, assertive, energetic and passionate about their work.  A demonstrated ability to multi-task, pay close attention to detail and work well under pressure in a fast-paced environment is a must!

 

Job Responsibilities include, but not limited to:

• Assist the Vice President of Media (“Executive”) with daily business needs; ensure Executive is operating at maximum efficiency;
• Answer and manage incoming phone calls for Executive;
• Manage and maintain Executive's Outlook contacts and calendar;
• Schedule appointments and make travel arrangements;
• Record, transcribe, and distribute minutes of meetings, seminars, conferences, etc.;
• Coordinate project-based assignments (i.e. department and individual);
• Monitor, respond to and distribute mail and incoming communications;
• Order and manage office supplies for department;
• Member of Reception Desk coverage team;
• Act as liaison between staff, departments, and stations;
• Review department operating practices and implement improvements where necessary;
• Perform research and special projects;
• Create, manage and maintain files and databases;
• Use of internal software for inputting of media schedules and pulling reports for analysis;
• Perform administrative duties requiring initiative, independence and confidentiality;
• Develop, maintain and expand relationships with the broadcast networks Standards & Practices/Commercial Clearance departments.
• Other duties as assigned.
• Demonstrated flexibility in job responsibilities. Due to fluctuating demands, and the nature of Icon Media Direct’s business flow, it may be necessary for each team member to perform a multitude of different functions not specifically outlined above.

Minimum Job Requirements include:

• College degree is preferred.
• At least 1 year experience in a professional business environment related to television media is required.
• Knowledge of and experience with media math calculations.
• Demonstrated ability to multi-task and maintain excellent organizational skills.
• Self motivation and the ability to prioritize work are essential.
• Microsoft Office 2007 proficiency (Word, Excel (Advanced Level including formulas, conditional formatting and pivot tables preferred), Outlook, PowerPoint, Internet Explorer)
• General office equipment (copier, fax, multi-line phone, etc.) experience.

The Executive Assistant will demonstrate a helpful, pleasant and professional demeanor. Excellent verbal and written communication skills are required.

Salary is based on skills and experience. All skills will be tested upon interview.
