Senior Executive Assistant to the CEO

Are you an experienced Executive Assistant that prides yourself on your ability to multitask with speed, accuracy and professionalism?  We're seeking a seasoned career Executive/Personal Assistant to support the execution of the CEO’s daily activities. The ideal candidate will thrive in a fast-paced, multi-faceted environment while exuding a professional demeanor, in addition to exceptional verbal and written communication skills. Must be able to effectively handle sensitive/ confidential situations and information with discretion and professionalism. Ideal candidate must also possess a high level of interpersonal and problem solving skills and have experience with administration, communication, with internal/external relations.  The Executive Assistant must display exceptional organizational skills, strong emotional intelligence, high ethical standards, and the capability to carry out multiple projects while prioritizing tasks.  Abundant energy and enthusiasm is highly valued, along with the presentation of sound judgment and confidence.

While the Executive Assistant’s main priority is providing support to the CEO, the EA will also be available to provide ancillary support to the company’s CFO/COO, as needed.

The ideal candidate must be able to work under pressure and meet strict deadlines while maintaining a positive demeanor. The position is full time and requires minimum of 40 hours a week, and may include some travel.

Job Duties:

  • Perform standard administrative tasks, including, but not limited to managing calendar, expense reports, conference calls and meetings
  • Demonstrate High integrity and strong work ethic
  • Participate in internal and external meetings, prepare/synthesize information, capturing notes and ensuring follow up communication
  • Book travel (domestic & international) and prepare/maintain itineraries
  • Plan, coordinate, and maintain CEO’s schedule and her timely arrival at scheduled meetings
  • Acts as gatekeeper, facilitating optimal access to the CEO
  • Work closely, effectively, and proactively with CEO, keeping her informed of upcoming commitments and responsibilities
  • Provide a bridge for smooth communication between the CEO’s office and internal departments
  • Work with CEO on internal and external event planning and company meetings
  • Coordinate annual holiday charity programs
  • Research and plan annual company picnic and holiday events
  • Manage catering and assist with set-up for on-site company events
  • Oversee special projects
  • Work with outside vendors, contractors and Handyman projects for building maintenance
  • Work with leadership group and other C-level executives on special projects and communication processes
  • Personal support for CEO with various duties
  • Assist CFO/COO with various projects
  • Should have a flexible schedule for occasional travel

Qualifications:

  • Strong organizational skills and attention to detail
  • Advanced computer skills, including Excel, PowerPoint, Word, and QuickBooks
  • Expert in MS Outlook, calendars and organization
  • Demonstrated proactive approach to problem-solving with strong decision-making capability
  • Ability to balance high-priority, long-term projects with immediate deadlines
  • Excellent verbal and written communication skills
  • Ability to work independently in a fast paced, rapidly-changing entrepreneurial environment
  • Ability to maintain high level of confidentiality
  • Strong knowledge of social media platforms
  • Works well under pressure with a positive, can-do outlook   

Education and Experience Requirements:

  • Bachelor’s degree required
  • 5+ years of experience supporting a C-level executive
  • Advertising experience preferred, but not required
