Accounts Receivable Manager

This position requires a highly motivated and detail-oriented candidate to play a crucial role in optimizing our revenue streams, enhancing operational efficiency, and ensuring seamless collaboration between accounting, client services, and operations teams. This individual will be responsible for overseeing the client billing cycle, implementing processes, and leveraging technology to drive revenue growth and maximize profitability. The billing team, which collectively include a dedicated team of 3 individuals, will report to this manager.

Primary Responsibilities for this position include:

  • Implement strategies to optimize revenues and cash collections
  • Manage client billing onboarding and client contracts
  • Provide data analysis and reporting for client billing
  • Propose and participate in technological integrations and learnings
  • Identify opportunities for operational efficiency and process improvement in billing and operations.
  • Undertake special projects and analysis as needed

This is a very agile environment and requires someone who is flexible, passionate, and excited to learn. This is a “roll up your sleeves and get to work” role.

Job Duties include, but not limited to:

Revenue and Cash Optimization

  • Collaborate with Client Services account leads to develop invoicing strategies to grow client revenues and receive quicker payments.
  • Analyze client contracts and pricing to ensure it aligns with billing.
  • Increase speed, accuracy, and timeliness with billing. Audit all client billing before it is sent to client or client services team. Ensure non-media fees have been billed in full. Ensure sliding scale commission rates are correct. Check all other terms against contracts.
  • Collaborate with Sr Financial Analyst to make sure forecasts and billing are aligned.
  • Prompt follow-up on collections and account balances due.
  • Lead monthly Accounts Receivable review with executive team.
  • Collaborate with Sr Accountant and Budget Analyst to ensure exposure is correct and assist in researching balances and providing commentary.

Client Billing Onboarding and Contracts Management

  • Participate in onboarding meetings for all new clients.
  • Secure contact information for clients and terms of contract.
  • Provide reporting of client contract terms for easy access to billers and others in the organization (MSA tracking list).
  • Run credit reference checks for new clients. Assess payment and credit history.
  • Make an introduction call with biller to each new clients’ payables contact.
  • Periodically attend client meetings to gain an understanding of their goals and objectives and to gauge current month over or under clearances.
  • Attend sales forecast update meetings to get a sense of budgets and to share insights and updates across departments.
  • Manage client contracts and deadlines.

Data Analysis and Reporting

  • Develop comprehensive dashboards and reports to monitor KPIs related to revenues and operational efficiency.
  • Analyze trends to provide actionable insights and recommendations for continuous improvement.
  • Maintain billing schedules, contract terms, and status of estimate, interim, and final reconciliation billing.
  • Create and update a standardized report showing billing, clearance, and payments.

Technology Integration

  • Evaluate, implement and manage technological solutions that support revenue operations, such as ERP and Media Buying system particularly with Billing, Analytics, Client Management.
  • Use project management software, such as Jira, to track billing schedules.
  • Implement standardization of billing through a portal.

Operational Efficiency

  • Working knowledge of Icon Media Direct’s systems and processes and how they relate to Accounting. Validate media clearance in Core and Advantage.
  • Identify opportunities for improving client invoicing or reporting.
  • Improve communication between accounting and client services for monthly estimate billing, incremental updates, and significant credits.
  • Implement best practices to enhance efficiency and accuracy within the Finance department.

Ad Hoc Projects

  • Competency with backup for billing team and all client billing.
  • Provide information for external audit requests.
  • Undertake special projects and analysis as needed.
  • Contribute to and support strategic financial planning initiatives.
  • Lead resolution of technical challenges by collaborating with other team members, Advantage, Core, and/or any other partners.


  • 5+ years experience with Billing, Accounts Receivable and supervision
  • Strong technical skills using Microsoft Office Suite, particularly Excel for large data sets, ERP systems, and report-writing.
  • Innovative spirit for process improvements and creating efficiencies
  • Excellent verbal and written communication skills and experience communicating directly with clients
  • Great organization skills and ability to balance high-priority projects with immediate deadlines
  • Flexibility and adaptability for a fast-paced and rapidly changing entrepreneurial environment
  • Ability to maintain high level of confidentiality
  • Works well under pressure with a positive, proactive, can-do outlook
  • Experience in media and/or media buying preferred but not required
