Director of Accounting Operations

We are seeking a dynamic and forward-thinking leader to fill the role of Director of Accounting Operations at our media buying company. As a key member of our team, you spearhead the oversight of accounting operations, directly impacting Accounts Receivable, Accounts Payable, and Media Airings, which collectively include a dedicated team of 9 individuals.

The goal of this role is to manage the operational areas in Accounting to ensure accuracy, efficiency, and compliance. Your contributions will play an integral role in bolstering our financial achievements and nurturing our client and vendor relationships. This is a very agile environment and requires someone who is flexible, passionate, and excited to learn. This is a “roll up your sleeves and get to work” role.

Primary Responsibilities for this position include:

  • Oversee the end-to-end operational revenue cycle for clients, including onboarding, timely and accurate billing in adherence to contracts, ensuring timely payments, and fostering cohesive client relationships.
  • Manage relationships with stations and vendors, responding to requests for letters of liabilities and credit requests.
  • Provide direction on vendor payments according to their payment terms while optimizing cash
  • Coordinating media airings updates before and after receipt of station invoices, and ensuring resolution of discrepancies
  • Act as liaison import process of post logs and final invoices reconciliations with Data Science team
  • Provide insightful data analysis and reporting
  • Propose and participate in technological integrations and learnings
  • Identify opportunities for operational efficiency and process improvement in all areas of accounting operations.
  • Undertake special projects and analysis as needed

Job Duties include, But Not Limited To:

Accounts Receivable

  • Collaborate with Client Services account leads to develop invoicing strategies for revenue growth and payment schedules.
  • Conduct background research and credit checks for new clients, analyzing payment and credit history.
  • Participate in onboarding meetings for new clients and products.
  • Audit all components of client billing for accuracy, ensuring compliance with contract terms.
  • Collaborate with Sr Financial Analyst to make sure forecasts and billing are aligned.
  • Prompt follow-up on collections and account balances due and clients with exposure balances.
  • Lead monthly Accounts Receivable review with executive team.

Accounts Payable

  • Build strong relationships with stations for smooth communication and resolutions.
  • Ensure correct vendors setups in Advantage through collaboration with the Data Science team.
  • Set up a weekly payment file for pre-approval, checking vendor terms and confirming client payments.
  • Respond to vendor requests for payment, letters of liability and credit references. Coordinate to establish client statin credit lines as necessary.

Media Airings

  • Manage post log processing meeting weekly deadlines.
  • Coordinate media buy and station invoices import from media buying system, Core, to ERP system, Advantage, on a weekly basis.
  • Validate data accuracy using external tools such as Premium360.
  • Liaise with the Advanced Media department to ensure timely processing of CTV and digital invoices.
  • Expedite media invoice reconciliations within a 60-day turnaround.

Data Analysis and Reporting

  • Synthesize billing, clearance, and payment information to report real-time client balances.
  • Maintain billing schedules, contract terms, and status of estimate, interim, and final reconciliation billing.
  • Track progress and provide updates on post log and station invoice reconciliations.

Technology Integration

  • Evaluate, implement and manage technological solutions supporting accounting operations.
  • Understand how buys are created in media buying platform and how they import into ERP.
  • Incorporate the use of workflow software, such as Jira, to track billing and payment schedules.
  • Standardized processes and billing requests through use of Billing Request Form platform.

Operational Efficiency

  • Possess a working knowledge of Icon Media Direct’s systems and processes.
  • Identify opportunities for improving client invoicing, reporting and accounts payables processes.
  • Improve communication among accounting, client services and media buyers.
  • Analyze trends to provide actionable insights and recommendations for continuous improvement.

Ad Hoc Projects

  • Serve as a competent backup for AR, AP, and Media Airings team members.
  • Provide information for external audit requests.
  • Undertake special projects and analysis as needed.
  • Contribute to and support strategic financial planning initiatives.
  • Lead resolution of technical challenges by collaborating with other team members, internal departments, Advantage, Core, and/or any other partners.

Qualifications

  • 5+ years experience with Billing, Accounts Receivable, Accounts Payable and supervision
  • Bachelor’s degree
  • 5+ years experience in a media company, preferably with media buying
  • Experience with Core or Advantage is a plus
  • Strong technical skills using Microsoft Office Suite, particularly Excel for large data sets, ERP systems, and report-writing.
  • Innovative spirit for process improvements and creating efficiencies
  • Excellent verbal and written communication skills and experience communicating directly with clients and stations.
  • Great organization skills and ability to balance high-priority projects with immediate deadlines
  • Flexibility and adaptability for a fast-paced and rapidly changing entrepreneurial environment
  • Ability to maintain high level of confidentiality
  • Works well under pressure with a positive, proactive, can-do outlook
